Update
Please update the number of hours that you are available to work next Winter semester. To do this go to the “My Info” tab on the internal website, choose “My Availability,” make sure the semester drop down box is set to Winter 2011, select the appropriate number under the “Hours per week” drop down box, and click “Save Availability.” If you won’t be working in the labs next semester set your hours to 0 and leave a comment to that effect.
Lab Assistant Applications Open: The application can be found under the Jobs tab, and will be available through October 31. If you would like to refer someone for the position please guide them through the process and email a recommendation to Phil, with thoughtful reasons why they would make an excellent labs employee.

A few things (though it may feel like 20 things):
1. First, a shout out for the 24 of you who have completed your semester training classes. Way to go!
2. The training class calendar has been updated. I added 17 new classes so if you can’t make it to any of them, I probably won’t believe you.
3. You must now sign up for training classes on both the lab’s website and it.byu.edu/training. This also means you must un-enroll on both calendars if you can’t make it to a training class. If you don’t know how, ask your supervisor. If you were signed up before Friday (Oct. 15) for existing classes, you were automatically signed up on both calendars.
4. TIPs mid-semester deadline is October 31.
5. You are phenomenal. This means you.

Etiquette for posting/picking up shifts: When you put shifts up for sub be sure to mention which hours you would like taken first or if you would like them all taken at once or nothing, etc. When you’re picking up shifts, be considerate of the employee whose hours you are taking. For example, don’t leave lone hours at the beginning or end of the block that you pick up. When in doubt get in touch with the employee that posted the hours and figure out the best way you can cover them.

Evaluations
Mid semester evaluations are open. All Lab Assistants and Lab Consultants are required to do 4 evaluations, one of which has to be your group leader. They are due at 11:59 PM, Oct. 31st! Supervisors, Group leader evaluations are going to be on a 3 week schedule until December. This is due to some technicalities with the website. For now the next group leader evaluations are due at 11:59 PM. October 27th. If you have any questions concerning these please ask away.

Some of you may not know that we have a blog. All the weekly emails are posted directly to this blog in case you need to find some information and can’t find the email in your inbox. The address is oaclweekly.blogspot.com. Soon, the OCs will be posting pictures of the finalists for the best dressed contest. Be sure to check it out to vote for who you think should win Best Dressed this month. Voting will take place on the internal website, but the pictures will be on the blog.

IT Training...There and Back, Again. A SAM's Tale
Dearest Lab Employees,
Please read the following e-mail very closely as it contains important information regarding the new training system adopted by OACL.
As many of you are aware, Spencer Bean is no longer with us as of today. This has caused us to re-examine our relationship with IT Training. Once again, IT Training will be teaching our training classes. They have graciously agreed to teach many of the classes we already have scheduled (please thank the trainers profusely, as many of them were put on the spot for next week's classes).
Here is what this means for you:
1. As of this morning, if you were scheduled for a training class in the future, you will automatically be scheduled for that class on IT's website, and your training class will take place at the same time, in the same place. (again, please thank the trainers for being so accommodating!)
2. If you are not currently signed up for a training class, but would like to sign up, please wait until Monday's e-mail with further information.
3. A few of the classes have been cancelled because there were only one or two people in them. You will get a personal e-mail from me if your class has been cancelled. Please pay very close attention to the class and date to avoid confusion. The following classes will continue as scheduled:
Oct 18 Illustrator
Oct 19 InDesign
Oct 29 Photoshop Foundations Accelerated
Nov 12 OneNote
4. If you started a training class with Spencer this week (Photoshop and Data Analysis) plan on finishing those next week with Spencer. I will e-mail you this weekend if that changes.

Logging into Windows 7 Desk stations
We have had a lot of questions that involve logging into the Windows 7 desk stations so I thought I might clear some things up.
It doesn’t matter who you are, if you are logging into a Windows 7 desk station you need to use your username and you need to use the Standard OACL login type. Also currently many of the Lab Assistants and Consultants don’t have the rights necessary to open Pharos, you must be an administrator to do that. We are working on making it so that you can all get into Pharos but please be patient.

Shift Supervisor applications are open through October 17th. If you have questions about the qualifications, they are listed on the Job Description posted under the application on the Jobs tab.
Lab Assistant applications for Winter 2010 semester will be accepted 10/18-10/31. Spread the word to the motivated and qualified individuals who you think would work well in the labs. To formally refer someone, send me (Phil) an email explaining why they are an excellent candidate.
Everyone is doing great with keeping the dress code! Keep it up and remember to take another look at your wardrobe as the weather cools down.
SAM of Training
Congratulations to Seth Hord who is the new SAM of Training. If you have any questions for him regarding Training and other lab related issues, feel free to email him at seth_hord@byu.edu.

Remember the mid-semester deadline is October 31 (Happy Halloween). You must have half of your TIPs requirement completed by that date. If for whatever reason you don’t finish it, e-mail me BEFORE that day and we’ll work something out.

We will be having a best dressed contest every month. Lynda and Rebecca will each pick random times to visit the labs and take pictures of the lab assistants. A winner will be chosen and they will be given a small prize and a spotlight in the Newsletter. So, remember to look your best because you never know when they will be coming!
Please remember to fill out “pending orders” when inventory is brought to the lab you are working in. This helps us make sure all the labs have enough supplies and the correct inventory.
Remember to send us anything you would like included in the monthly newsletter before the end of the month! Just send the OCs and email if anything important or exciting happens in your life and we’ll put it in!

Supervisors, remember that your evaluations are due TOMORROW, October 5th at 11:59 pm.
Broken Netbooks
When there is a problem with a netbook (Like a ticket is made because it has a broken key). Submit a ticket on the support desk, and then print off a “Out of Order” sign, put it on the netbook, and then the next shift supervisor to visit the office should bring said netbook to the office so that the support techs don’t have to go to the MCL to get the netbooks. Any questions just email me.

Training Raise
Don't forget that you are responsible for letting us know when you completed your required training for the semester. First semester employees, you are eligible after you complete the required Excel, Word and PowerPoint projects. Everyone else is eligible after completing four hours of training. Competency projects must receive a passing score before requesting the training raise. E-mail the SAM of Training for more information.

Kronos
If you miss one punch during a day and have shifts after that missed punch, Kronos will automatically assign your following punches as “in” and “out.” When you are submitting an edit request for that 1 missed punch, you do not need to submit “deletes” and “adds” to change your other punches. Once the missed punch is added to your timecard, everything will even out. If you have any questions or problems with this, feel free to call Rebecca and she will try to explain it better.

If people come to you with software requests, please have them call 2-4000. This way the request will be processed correctly instead of sending feedback through the internal website to the Technicians.

A helpful tip for picking up shifts
Picking up shifts can be difficult when you are not dressed for work. As a possible solution we recommend getting yourself a locker in the WILK where you can keep an extra change of clothes. This would increase your chances of being able to pick up shifts as you desire. You would also have a nice place to keep your books J
