Winter 2011 Schedule Posted

The Winter 2011 schedule is now posted on the internal website.  You can view the schedule under the “Schedule” tab, just make sure to choose your name from the drop down menu to make it easier to see when you have been scheduled.

 

Do not put any  hours up for sub after the first week of the semester. This makes it much harder to swap shifts later on. There will be an opportunity to meet after semester orientation meeting on Thursday 1/6 to trade, give up, or pick up shifts for the remainder of the semester.

 

The schedule is shortened for the first Monday, January 3rd, because it’s still semester break. The normal Monday schedule starts the following Monday 1/10.

Christmas Party -Room Changed

Just a notification about the Christmas Party Dessert Potluck.  The room has been changed.  We will still be in the WSC, just in room 3280 instead of the other one.  Also remember that it is a potluck so please bring something.  I hope to see all of you there who can make it.

From Phil:

Availability: The final day to submit changes to your availability for Winter 2011 is Friday 12/17/2010. If you submit changes after this date you will be responsible for finding someone to permanently cover any shifts that you can’t work. If you do need to make changes after Friday 12/17 notify me immediately by email at that time.

 

40 hrs/wk: Resident students can work 40 hours per week beginning the first reading day, Friday 12/10, but the website will still only let you pick up 20 hours. Please email me with the date, time, and location of any shift that you would like to pick up but can’t because you’re already at 20 hours, and I will add it for you.

 

Dress Code: We know that the end of the semester can be stressful, so to help you out we’ve received permission for all labs employees to wear nice looking jeans during reading days, finals week, and over Christmas break (12/10-12/31). This is the only aspect of the dress code that will be different. All other aspects of the dress code will be unchanged. Jeans with holes, frays, or loud colors are not acceptable. We still need to be clean and professional for our patrons. Again this change is only effective 12/10-12/31 2010. Beginning 1/3/2011 its business (causal) as usual.

 

Kronos: Please take time this week to review your Kronos report for the semester (under Schedule tab -> Kronos) and make sure that everything is accurate. This information will be used to assess your punctuality in your performance review, so it’s in your best interest to make sure everything is correct!

Open Access Computer Lab Dessert Potluck Christmas Party – The Christmas Party will be Thursday December 9th from 6:30 PM to 8:30 PM in room 3252 WSC.  We will have a poetry contest, games, and eat ourselves fat.  Hope to see all who can make it there.

 

Evaluations – All evaluations are due at 11:59 PM Dec. 10th.  Please be sure to finish them by this date if you value your Christmas.

Lab Assistants do have administrator rights to install programs. If anyone does not have administrative rights please let us know.

 

In the SWKT we have ‘Class in Session’ signs. We need you to be on top of putting those signs up. Every hour please check to see which classrooms need signs put up or taken down. This will benefit our patrons greatly, so they know which rooms are available to be used.

Christmas Break Hours available today at 6PM

This is a reminder that the first five hour increment of Christmas break hours will become available at 6 PM today.

Weekly Email

Welcome back! Hope you had a great Thanksgiving break

 

Here’s the weekly email.

 

From Phil:

Christmas Break Schedule:

The hours that will be available over Christmas break (12/18-12/31) are now visible on the schedule. Right now the weekly hour limit is set to zero and no one can pick up hours. Each weekday between Wednesday 12/1 – Friday 12/10 at 6 PM the weekly hour limit will be increased by 5 hours. In this way employees will be able to pick up shifts in 5 hour increments. Shifts will be picked up in the same way that you pick up hours that have been put up for sub.

 

Please remember these mandatory procedures as you pick up hours:

I hope you had a phenomenal Thanksgiving.  We chopped down an olive tree in my in-law’s yard.  Olive wood is hard. 

1.      Don’t forget the training deadline is this Saturday (Dec. 4).  All training class projects and TIPs points must be in by that date.

2.      Make sure you have clicked the “Enrolled” button for each of the training classes you attended.  If you do not do this, I will become angry and use my Jedi powers against you, etc.

3.      Also, if you haven’t e-mailed me about your training raise, I highly recommend you do so.

4.      Furthermore, the TIPs contest ends at 11:59 PM tomorrow (Tuesday)!  The current standings are as follows:

Campus Closing

Hi everyone,

 

We don’t know if you got word from University Communications, but campus is officially closing today at 3:00 pm. This includes our labs. If you have shifts at 3:00 or later, please do not come to campus. Please note that campus will be closed tomorrow as well.

 

Those of you who are currently working, please send out status messages to patrons using our computers and close the lab at 3:00.

Thanksgiving Break Scheduling:

Supervisors remember that the check sheets need to be filled out, and more importantly remember to visit each employee in your zone.  If they only work for an hour during your scheduled supervisor shift, then a phone call is okay, but try and always have some sort of contact with them.

 

Also remember that we are tracking every interaction we have with lab patrons.  Please do your best to record every interaction on the website.

Training Class Requests

Dearest Employees,

 

As you are now getting your winter schedules finalized it is time to schedule something else!  IT Training has agreed to take requests for training classes for next semester, but I need them by December 1.  That is a few days after Thanksgiving (which is next week), so do it this week before you forget!  This is especially handy if you desire to become a lab consultant, or you have a tricky schedule, or if you have taken every training class they offer except that last one…

 

Here is what I need

Group Leader Evaluations are due at 11:59 PM on October 18th

Also all employees should be logging on to the desk station computers using the ‘oalassist’ login and password.  Please remember to do this.  And if you notice that a computer isn’t logged on with oalassist, log off and switch it before it locks, and you have to restart the computer.

Lastly, don’t forget to report every interaction with a patron using the question tracker.  This is very important, and we need all the help we can get.

We’ve had a great week in the TIPs contest!  One fellow of fairness, suggested we divide the total points for a group by the number of people in the group (average number of TIPs per group member), thus evening the playing field.  Starting next week, the numbers will be reported that way.  Here are some of this week’s highlights:

 

Sarah Godfrey’s group moved from fourth to first with a strong 12 TIP lead.  Jaewon’s group deserves honorable mention for moving from dead last to third place.  Lynne’s group also made good strides to make the top 5.  The fact that one person can make a difference was strongly shown by Jarom, who has completed 23 TIPs points!  One person can’t do it all, though.  In this race, Jaewon’s group is strong and steady with each group member completing an almost equal number.  Keep up the great work!  Y’all are awesome!

Training Classes

With the switch back to IT Training, their curriculum and our competency projects are not quite in-sync, yet.  Even though this is the case, it is your responsibility to learn the material in the competency project.  You may look at the projects before your training class (which will give you great questions to ask) or you may use the help menus, Google, other employees, etc.  You may also call or e-mail me and I will come personally teach you the skill during one of your shifts.  If you have any questions about this, please let me know.  Keep on keepin’ on!

You can now log-in to desk stations using oalassist just like we used to. This way you don’t have to worry about logging off when you leave and if a computer locks on you, you will be able to unlock it. Hope this helps. Be sure to thank the techs!

Remember to be greeting people as they approach the desk, and enter the lab.  We want to be the top dogs of customer service here at BYU.  Also don’t forget that each employee is supposed to get up every 15 minutes during their shifts.

Mobile Alerts is stable and working great now, so please turn it back on if you would like help remembering shifts that you have picked up! The Mobile Alerts page is under the Communications tab.

‘Sup, y’all?  Thanks for your hard work and getting your TIPs done by the mid-semester deadline.  Now for the fun stuff… November is the month of competition!  In honor of this great moon cycle, we are having a training competition.  The competition will be as follows:

The group which completes the most TIPs points by the end of the month of November will have pizza provided for each member of their group.  The group who comes in second will get honorable mention in the newsletter and Snickers bars for each group member.  May the most competitive group win!

Please update the number of hours that you are available to work next Winter semester. To do this go to the “My Info” tab on the internal website, choose “My Availability,” make sure the semester drop down box is set to Winter 2011, select the appropriate number under the “Hours per week” drop down box, and click “Save Availability.” If you won’t be working in the labs next semester set your hours to 0 and leave a comment  to that effect.

 

Lab Assistant Applications Open: The application can be found under the Jobs tab, and will be available through October 31. If you would like to refer someone for the position please guide them through the process and email a recommendation to Phil, with thoughtful reasons why they would make an excellent labs employee.

A few things (though it may feel like 20 things):

1.      First, a shout out for the 24 of you who have completed your semester training classes.  Way to go!

2.      The training class calendar has been updated.  I added 17 new classes so if you can’t make it to any of them, I probably won’t believe you.

3.      You must now sign up for training classes on both the lab’s website and it.byu.edu/training.  This also means you must un-enroll on both calendars if you can’t make it to a training class.  If you don’t know how, ask your supervisor.  If you were signed up before Friday (Oct. 15) for existing classes, you were automatically signed up on both calendars.

4.      TIPs mid-semester deadline is October 31.

5.      You are phenomenal.  This means you.

Etiquette for posting/picking up shifts: When you put shifts up for sub be sure to mention which hours you would like taken first or if you would like them all taken at once or nothing, etc. When you’re picking up shifts, be considerate of the employee whose hours you are taking. For example, don’t leave lone hours at the beginning or end of the block that you pick up. When in doubt get in touch with the employee that posted the hours and figure out the best way you can cover them.

Evaluations

  Mid semester evaluations are open.  All Lab Assistants and Lab Consultants are required to do 4 evaluations, one of which has to be your group leader.  They are due at 11:59 PM, Oct. 31st!    Supervisors, Group leader evaluations are going to be on a 3 week schedule until December.  This is due to some technicalities with the website.  For now the next group leader evaluations are due at 11:59 PM. October 27th.    If you have any questions concerning these please ask away.
