Comments/Feedback
If you have comments concerning another employee, please submit them under the comments tab on the internal webpage. Do not send them as feedback. That way it is sure to make it to the right people and the right place. Also, watch closely who you send your feedback to. And if you aren’t sure where to direct your feedback, please send it to the OCs and they can forward it to the correct address.
Printing
We were informed by one of our Supervisors (Thanks Allison!!) that double sided printing is now working in the MCL. Spread the good news!

Happy Valentine's Day! If you haven't got something for your significant other, I have a recommendation: Use your stunning Photoshop skills (or your co-worker's stunning Photoshop skills) to create a perfect background for his/her computer (no animals--they really aren't cute). Ahhh.
A reminder that the mid-semester training deadline is February 28th. Fourteen days away! Make sure at least half of your required TIPs are complete, passed off, and recorded on the website by then. Many of you have already finished your TIP requirement. Way to go! For those of you who haven't, REPENT!
Don't forget to send me ideas for Tip of the Week and why you love Phil by February 25th.

Free Printing: Please remember that only OACL employees are entitled to free printing in the labs. We cannot send print jobs through for free for people that approach the desk simply because they are friends, family, significant others, etc.
Punctuality/Kronos: As an organization we’re doing great with punctuality, so let’s keep it up, especially with mid semester reviews around the corner. Remember to check your kronos report often. Please flag and comment on all “problem” punches that are marked in pink, even if it was just for a training class or something, and they will be reviewed and excused as is appropriate.

I have updated the certifications (the little program icons that show up under your name on the schedule) for everyone who has a competency project turned in. If you are missing a program, shoot me...an e-mail. If you are a new employee, you must have the library tutorial competency in to me by Feb 25. If you are not a new employee, you should send me 1 recommendation for Tip of the Week (something really cool and helpful you wish everyone in the world knew), and 1 reason why Phil is the coolest person you know (other than his voice...that is a given) by Feb 25. Have fun, y'all!
From Phil:
JKB Closing at 8pm: Starting today the JKB 1005 lab will remain open until 8pm. This means that it will remain unstaffed between 6-8 M-Th, and 5-8pm on Fridays. The East Zone supervisor will close the lab as a part of their walk. If you have a shift when you normally close the JKB lab, please remember to leave it open when you leave.
President’s Day: The schedule has been updated to reflect changed hours for President’s Day (2/21) as well as Tuesday (2/22) that will match the Monday instruction schedule. Please look ahead at these two days and make sure you know when you are scheduled to work.

Lab Console:
Starting today, you will need to start changing a setting lab console when you open a lab, and will need to check this at the start of each of your shifts. We are getting a handful of help requests that are not being taken care of. Changing this will help with that problem. Under Options then Preferences, change the “Help Requests popup” to Always.
Please remember to do this daily, especially those of you who open labs regularly. We recommend just checking it at the start of each of your shifts. Having it be a regular habit will ensure that it happens.

The customer service workshop will be held at the end of February. The exact date is not yet known, and will be posted in the next few weeks on the training calendar, and a notification will be sent out about the workshop.
Supervisors – Group leader evaluations are due on February 6th at 11:59 PM. If you have any issues then please let me know and we will work together to fix them.

If you have anything that you would like included in the February newsletter, please send it to the OCs before Wednesday afternoon. We’d love to include any stories from your experiences in the labs, any sort of announcements or anything that you would like your co-workers to know about.

Mid-week email
Sorry for the mid-week email. We had some information come up that we wanted to share with you.

I have added more training classes to the February and March calendars. Some of these include NEW Excel, Illustrator and Photoshop Skillbuilders! Get excited for training, folks. Enjoy!
From the OCs:
The SWKT and the MCL both have 2 radios now. This is because we cannot use the phone to call radios anymore. When a supervisor leaves either lab to go on a walk, please have the other radio on. This will help with communication between labs as it is needed, especially when a supervisor is out. Try to only have one radio turned on unless the supervisor is out doing his or her walks.

From the OCs:
Please remember to use the ID card look up access you all should have to check people’s IDs. This is important when they don’t have a card with them and would like to print something off. Also, if you do not have this access, please email the OCs and we will request it for you.
If there are classes on the calendars for the SWKT and the teacher and students do not come, please do not worry about it. It is common for teachers to not use the rooms every single week, but they can still tentatively schedule the rooms for the entire semester. You do not need to email the OCs if a class does not show up. If a professor wants to cancel or reschedule a class for a different time, please have them call the OCs. Also, please do not ever write anything in on the class room calendars. If changes need to be made, please contact the OCs. Our schedules should be accurate, but if a professors comes claiming that he or she had scheduled a room, please let them use the room if it is available, and then have them call the OCs to get them put on the calendar.
Please know that just flagging your punches or sending the OCs an email will not actually change your timecard. You must submit edit requests on the internal webpage.

I will be putting more training classes up this week, so watch for those (think Thursday)! Also, my wife is pregnant. Yes! As of tomorrow evening, I will be out of the country. If you have questions, continue to e-mail me and I will respond from the future… If it is an emergency, e-mail me and call the OCs. They will be able to answer most questions. Training classes* have been added to our calendar for the next 2 weeks. There are many classes which start at the same time. Because of this, please Please PLEASE be careful when you enroll in classes. Carefully note the building and room number. Don't forget you must enroll on our website and it.byu.edu/training. If you do not remember how, ask your supervisor. Make sure the classes you select on the two different sites match in Name, Day, Time, and Room #.
*Note: all training classes are made up of multiple sections. You must be able to attend all sections to receive credit for the class. Contact me for exceptions.
If you have any questions, call or e-mail me (801-422-3074, 801-433-7119, seth_hord@byu.edu).

Schedule Changes: If you still have a shift that you can't or don't want to work, please email me with the date, time, location of the shift, and whether you want to trade hours or just give them up. Also, please indicate if you urgently need the shift off because you have a class or other permanent conflict.

Best Dressed: We will be starting up the Best Dressed Contest for this month. Be ready for either of the OCs to come take your picture while you are on shift. The pictures will then be posted on our blog: oaclweekly.blogspot.com and voting will take place on the internal website. Remember to be dressed well! You never know when the OCs will be coming by.

Door Codes
ALL of the door codes have been changed. Please see the “Documents” tab on the website for the accurate codes. If you experience any difficulties with the new codes, please email Rebecca.lewis@byu.edu
Orientation
The Orientation meeting tomorrow night, Jan 6, is for ALL employees. It is at 7:00 pm in room 3222 WILK. Some of you already have, but if you cannot attend because of a class conflict, please email the OCs asap.
Please note that dress code is mandatory for this meeting!

Employee Orientation
This is just a friendly reminder about the Orientation meetings we have this week.
New Employee Orientation will be held tomorrow, January 4, 2011, at 5:00 pm in room 276 MB. This is mandatory for all new employees. If you have a major conflict, please call the Office Coordinators at 801-422-2647 as soon as possible.
All Employee Orientation will be held on Thursday, January 6, 2011 at 7:00 in room 3222 of the WILK. This is for ALL new and returning employees. If you have a conflict, please contact the Office Coordinators, but please try to adjust your schedule accordingly.
